InstantCard Zapier Integration

Managing new employee onboarding can be complicated—HR, IT, and security teams all have their own systems and checklists. Over the past decade, Zapier has emerged as the go-to automation platform that connects thousands of online tools so those repetitive steps happen automatically, without writing any code.

InstantCard now offers a full Zapier integration, making it easy to automatically order photo ID cards whenever a new hire joins your company.

Every company uses different HR and IT systems, and every company has a different workflow for new hires.  Whatever your specific set of circumstances, whatever your processes are,  Zapier gives you the flexibility to order employee ID cards from InstantCard automatically.  Zapier’s flexibility, along with the many options InstantCard offers when receiving a card order, allows you to adapt the services to your unique requirements.

For example, when a new employee is entered into your HR or payroll system, a “zap” (Zapier’s term for an automated workflow) is triggered to order an ID card, which is printed using the employee’s photo and mailed to the appropriate location, home or office.  But many triggers can initiate the workflow, including a new entry into a Google Sheet, a form submission on a website, or a new record in the access control system.

Likewise, there is great flexibility in the way the workflow plays out, all of which can be defined by the client without resorting to traditional programming.  Options can be included to, for example, request approval from authorized staff before a card is actually printed and mailed.  Or the workflow can include a step where the employee uploads and crops their own photo.  The workflow can be established to specify what accessories, like a lanyard or a badge holder, are to be sent out with the card.  The possibilities are endless.

Zapier also supports a wide range of “if-then-else” options to allow a single workflow to account for various use cases.  For example, based on location, the badge can be printed on the appropriate RFID card stock.  Or, depending on division, the proper card template graphics can be chosen.  Again, there is no limit to the flexibility Zapier offers through this “conditional logic” capability.

Zapier can also, for example, generate emails or text messages as the workflow unfolds, so appropriate people are informed along the way.  Or data can be sent to other systems so multiple databases can be updated simultaneously.
